How do I use the new application forms?

We have developed new application forms, tailored to suit whichever type of grant you are seeking. This means you can now apply and submit the forms electronically which we believe will result in greater efficiencies for you and us.

To help you to complete your application we’ve linked our forms to information about the grant type, further resources and frequently asked questions.

The following provides a quick reference to the process of applying which is followed by more detailed instructions on each of the steps involved.

Step 1 – Select your grant type

From the information about each grant type, select that which best fits your needs. They each contain information to assist you. If you’re not sure, call us and we’ll be happy to help.

Step 2 – Select the preferred method to complete your application:

  • Apply online

To access forms you will need to be connected to the internet. You can either work online or download the application form to your own computer. You only need to stay connected to the internet to download and submit your application. You can download the application form to your computer by activating the 'Save to my computer' button at the last page of the form. You can also, email the form to your colleagues so they can complete sections and return it to you. Once you have completed your form follow steps 3-5.

  • Apply on paper

To complete your application by hand, or see it in full before starting, please download a print version of the form. Once you have completed the questions and prepared your attachments you may send it by post to Lotterywest.

Step 3 – Attaching documents to your application form

  • Sending attachments electronically

To attach documents and submit electronically, click the attach button located at the end of the form. This will give you an option to browse your computer and find the document(s) on your system that you wish to send. You can then click the attach button and that document will be attached to your form. Once you have finished selecting your attachments and are ready to submit your application, click the submit button and your application and its attachments will be forwarded to Lotterywest.

  • Sending attachments by post

If, after having applied electronically, you send any of your attachments by post, please include the receipt number provided to you at the time of submission. This will help us match your documents to your application.

Step 4 – Save or print your application

Please save or print your completed form to keep a record of it for yourself. A prompt on the form will recommend that you do this before submitting to Lotterywest. Click the save or print button at the end of the form. The print version is in black and white to save time and ink.  

Step 5 – Submitting your application

  •  Working online
  • Once you have completed your form and attachments you can click the submit button at the end of the form. Your application will be sent to Lotterywest along with any attachments.

  • Submitting a form downloaded to your computer
  • After completing your application and adding your attachments, reconnect to the internet and click the submit button at the end of the form. Your application will be sent to Lotterywest along with any attachments.

Step 6 – Save your application number

After clicking submit, when your application has been received by Lotterywest, a screen message will provide you with an application number. Please use this number when making any enquiry related to your application or with any documents you send by post.


Do I have to complete my form online?
No. If you would like to complete the form by hand, select the ‘Print version’ of the form, answer the questions and send it by mail.

You can also download the online form to your computer, complete it offline and once you are finished, submit the form electronically or send it by post.  If you would like to print the online form you will need to complete all the questions first.


Can I apply for more than one grant at a time?

In some cases, requests for different grant types can be grouped together in one application. Please contact us if you would like to discuss a number of requests.

Is there a limit to how much I can include in a text box?

Where you are asked to enter text, please provide as much information as you need to answer the question. If you have the details in another document you can attach it to your application.


How can I keep track of my application?
When you submit your form online you will be given a receipt with an application number. Please refer to this number when enquiring about your application.


Should I keep a copy of the application that I have submitted?
Yes.  We recommend that you save or print a copy of your application before sending it to us.


How are the new forms different from the previous forms?
We no longer offer a single, generic application form.  Our new forms have been tailored to the type of grant you’re seeking. Our online forms are able to identify your organisation (based on answers to a few questions), which will save you having to supply the same details each time you apply for a grant. They also offer a range of convenient drop down boxes and budget tables that perform additions automatically.


Can I submit my application on an old application form?
Yes, although we would prefer that you use the new online forms, we will accept the previous application form.


Can others in my organisation access the form to input details?
Yes, if you download the form to your computer, you can email it to your colleagues who can include information as required and also attach documents before sending it back to you or submitting it themselves.


Am I using the most recent version of the form?

We continue to make improvements to our forms.  If you’ve previously downloaded the application form to your PC, and you haven’t started it, we suggest you download the form again.  By doing this you’re using the latest version which will contain all updates and enhancements.

Why doesn’t the ‘Check my details’ button recognise my organisation?

The ‘Check my details with Lotterywest’ button uses your bank account information to check if your organisation’s details have previously been entered into our system.

If you think we have your organisation’s information already, but the ‘check details’ function is not recognising your information, please check if you have entered your bank details and ABN correctly.

If your organisation’s bank details have changed, or you are still experiencing difficulties, then please contact our Grants team before continuing.


Can I re-use my application form?

You can’t resubmit an application form that has already been submitted to Lotterywest.  This is because every application form you download has a unique number so we can track its progress once it is received.  Every time you wish to apply you must download a new form.

How do I use the form with an Apple Macintosh computer?

To successfully download and complete our forms using an Apple Macintosh computer you will need to make sure you are using Adobe Acrobat Reader version 10.1.0.

If you have an earlier version of Adobe Acrobat Reader installed on your computer, you will encounter errors and the form won’t work as it should.

For the form to work correctly you will need to delete other versions of Adobe Acrobat Reader until only one version of Adobe Acrobat Reader Version 10.1.0 remains.


How do I use the form with different web browsers?
 
The latest versions of the following internet browsers have been tested and used successfully with our forms:

  • Firefox version 5.0.1
  • Safari version 5.0.6
  • Chrome 13.0.782.112

Please note: The forms were tested with these browsers using the current version of Adobe Acrobat Reader Version 10.1.0.
